I write in connection with your request for information which was received on 27th August 2024 as follows:
I wish to request a copy of the Force policy in relation to the retention of information and data of officers and staff once they leave the organisation, specifically in relation to their service record.
Please find the Warwickshire Police response set out below.
Response: Section 17 of the Freedom of Information Act 2000 requires Warwickshire Police, when refusing to provide such information (because the information is exempt) to provide you the applicant with a notice which:
(a) states that fact,
(b) specifies the exemption in question and
(c) states (if that would not otherwise be apparent) why the exemption applies.
The exemption applicable to the policy is:
Section 21 - Information Reasonably Accessible by Other Means
I can advise that the force Records Management Policy is published on the Warwickshire Police website and can be accessed at the following link:
You will see that under Section 4.0 PROCEDURES, this refers to the Warwickshire Police Retention Schedule which sets out the retention periods for records created by the force in its day to day business. With specific regard to the retention of personnel service records, the Retention Schedule states that these should be retained until age 100.
Every effort has been made to ensure that the information provided is as accurate as possible.
Your attention is drawn to the below which details your right of complaint.
Should you have any further enquiries concerning this matter, please write or email the Freedom of Information Unit quoting the reference number above.
Yours sincerely
